If so, the Lessard Community League is seeking an Administrative Coordinator to support the daily operations of the League and to foster community spirit in our neighbourhood.
The Lessard Community League Coordinator is responsible for the day-to-day administrative operation of the Lessard Community League. This part-time position (approx 8-12 hours a week) reports to the Board as a whole and directly to the President.
The Coordinator’s responsibilities include (but are not limited to): administrative functions, the creation and maintenance of financial documents and reports, as well as banking and bookkeeping under the direction of the Treasurer. Maintaining staff records, supervision of staff, coordination of maintenance issues, liaising with the Lessard Community League Playschool, and providing support to the board as needed are also responsibilities of this position.
To be successful in this position, the candidate should be able to oversee and ensure smooth and efficient daily operations of the community league building, staff, stakeholders and be highly organized. Experience working with non-profit organizations would be an asset.
Responsibilities:
General
- Oversee and coordinate schedules of employees, including cleaning attendant, rink attendant, and any other staff that may be hired by the league.
- Picking up supplies for the hall or events as required.
Bookkeeping
- Ensure pay cheques, and all other payments are issued in a timely manner;
- Ensure all bank deposits are done in a timely manner and monthly reconciliation of bank statements;
- Ensure all transfer payments, refunds and any other payments required are done in a timely manner;
- Maintain the league's QuickBooks program (includes all data entry);
- Ensure completion of the yearly insurance reports and communicate (on behalf of the board) with the insurance company for compliance and payment of annual premiums;
- Create the yearly budget, maintain the month-to-month forecasts, actuals and review for targets being met;
- Ensure we are up to date with all CRA documents and payments (ie: payroll, tax remittances, T4 summaries and any other required documentation);
- Create, maintain and submit T4 slips and summaries as well as keep detailed records of all payroll deductions;
- Prepare all reports, audits, etc. and provide to the Treasurer for review;
- Complete yearly tax filings, T4's, WCB, Societies Act, City tax exemption;
- Complete and submit reports to AGLC&C after raffles are concluded;
- Provide assistance with the playschool budget as requested; and
- Issue Playschool tax receipts at yearend.
Grants
- Complete all necessary operating grants including: CLOG: Operational yearly grant, CLIP: Infrastructure grant, Big Bin Grant, EPCOR Rink Grant, and other grants that are applicable to the League.
Correspondence
- Correspond with board members as required; and
- Coordinate with Centennial School on joint issues.
- Ensure regular pick up of mail from postal office box
Playschool
- Serve as the Board’s liaison with the Lessard Community League Playschool;
- Help facilitate the playschool operations;
- Oversee the teacher and playschool parent committee (observer role);
- Keep all monthly playschool cheques and bond amounts, deposit monthly, tax receipts at year end;
- Main contact for the playschool if anything happens that needs to be reported.
Maintenance
- Work with custodial staff to change the outdoor sign.
- Coordination of maintenance activities and being on site to meet contractors.
Other activities as requested by the Board.

Pay: $22.00-$25.00 per hour
